Start with the daily essentials
These are the items your team touches every single working day. If any of them run out, someone notices within the hour — so they deserve the highest par levels and the tightest checks.
- Coffee (beans, capsules or ground, matched to your machine)
- Tea bags and a small herbal selection
- Fresh and UHT milk plus creamers and sugar
- Drinking water — bottles or dispenser refills
- Cups, stirrers, napkins and tissue
Add the weekly range
Snacks, biscuits, soft drinks and healthier options rotate on a weekly rhythm. Keep the selection tight — six to ten lines cover most offices — and change one or two items each quarter to keep it interesting.
Do not forget the invisible list
Cleaning and hygiene items are the ones nobody adds to a WhatsApp message until they are gone. Dishwashing liquid, surface cleaner, bin liners, hand soap, sponges and paper towels belong on the same managed list as coffee.
Set par levels by headcount
A simple starting point: two cups of coffee per person per day, 1.5 litres of water per person per day, and one snack unit per person per day. Multiply by your restock interval, add 20% buffer, and you have a par level you can refine after the first month of real consumption data.
